Users need a way to log and track core charges on parts (e.g., motors) that are received and then returned to the supplier for a refund. Core charges are common in parts workflows, and without proper tracking, teams cannot confirm whether a refund was received within the required timeframe.
Current Limitations
- No Core Charge Field: The system has no built-in field to record the core charge amount when receiving a part.
- No Refund Tracking: There is no mechanism to track whether the core was returned and the charge refunded.
- Manual Processes: Teams must track core charges and refunds externally, increasing the risk of missed deadlines (e.g., 30-day return limits).
- Lack of Visibility: Without a dedicated log, financial and procurement teams cannot easily confirm if credits were issued.
General Example
A supplier invoices a $500 core charge for a motor. The part is received, and the old core must be returned within 30 days to claim the refund. Currently, there is no way in Limble to record the $500 charge, track whether the core was returned, or confirm if the refund was applied. This often requires manual spreadsheets or emails to fill the gap.
Requested Enhancements
- Core Charge Field on Parts/POs
Add the ability to log a core charge amount at the time of part receipt. - Return Status Tracking
Provide a workflow or checkbox to mark when the core has been returned to the supplier. - Refund Confirmation
Include a field to record whether the refund/credit was received and when. - Timeframe Alerts (Optional)
Add reminders or alerts for core charge returns tied to deadlines (e.g., 30-day requirement).
Business Value
- Accuracy: Ensures all core charges and refunds are properly documented and reconciled.
- Efficiency: Eliminates reliance on external tracking tools like spreadsheets.
- Compliance: Prevents missed refund deadlines and financial losses.
- Visibility: Gives procurement and accounting teams clear oversight into outstanding core charges.
