The customer needs the ability to record parts used on a task that are not part of inventory — such as vendor-supplied parts or reused parts salvaged from other machines. These parts should be added for historical tracking without affecting stock levels, cost, or triggering purchase workflows.
Currently, when adding parts to a task, Limble only supports parts that come from inventory or are purchased through a PO, which both affect costs and stock. There is no option to document parts that were externally provided or reused internally (e.g., from scrapped equipment).
Current Limitations
- No Option for External or Used Parts: Parts that come from a vendor’s inventory or from a decommissioned machine cannot be logged properly.
- Inventory/Cost Impact: Adding a part from inventory deducts stock and adds cost to the task, even if the part was not supplied by your organization.
- Incomplete History: If the part isn’t added, there’s no record of what was replaced or installed, breaking asset traceability.
- No Designation for Source: There’s no field or tag to indicate that the part came from an external vendor or was reused internally.
General Example
A vendor repairs a machine and replaces a bearing and a coupling using their own stock. The organization receives one invoice for the repair (labor + parts) and attaches it to the task. However, there’s no way to list the actual parts replaced on the task without affecting internal inventory.
In another scenario, a maintenance technician removes a used motor from a machine being scrapped and installs it on another asset. Since the motor wasn’t pulled from inventory, it can’t be logged accurately in the system — even though it’s now part of the second asset’s history.
Requested Enhancements
- Add “Non-Inventory / External Part” Option
Allow users to add parts to tasks that are not in inventory and not tied to a purchase order. - Source Tracking Field
Include a dropdown or tag to specify the part’s origin (e.g., Vendor Supplied, Used / Salvaged Part, From Scrap Machine). - No Stock or Cost Impact
Ensure these parts don’t affect inventory counts or trigger cost entries. - Historical Recording
Display these parts in the asset’s maintenance history with clear identification of their source and status.
